Explanation

Before making a document you should picture how it will look, because certificates, reports and school records differ in size and layout. Document settings fall into three groups: page, font and paragraph. Page settings are margins, orientation (portrait – upright, landscape – sideways), paper size (at school usually A4, 210 × 297 mm) and the number of columns; in current Word they are on the Layout tab, while page colour and page borders are in the Page Background group of the Design tab. You can also drag the margins with the mouse on the ruler (View > Ruler). Font settings are the typeface, size (measured in points), style (bold, italic, underlined) and colour, found in the Font group of the Home tab. Paragraph settings are alignment (left, centre, right, justified), line spacing (1, 1.5, 2 and so on), indent, space before and after, bullets and numbering, found in the Paragraph group.

Worked examples
We centre the title (Ctrl+E) in 18-point bold; the main text is 14-point, justified (Ctrl+J) with line spacing 1.5.
For a page with a wide table or picture we set the orientation to landscape. The page becomes 297 mm wide and 210 mm tall.
Class activity

“Which group?” game: the teacher calls a setting (colour, margin, alignment, size…) and pupils place its card under “Page”, “Font” or “Paragraph”.

Practice
1
Give two examples each of page, font and paragraph settings.
2
What size is A4 paper in landscape (width × height, mm)?
3
If you make the first letter red and keep typing, what colour will the following letters be?
4
Why do long official documents keep page margins?
