Explanation

Business papers are documents used in official communication; each has its own template, which must not be broken. The language of a document is concise, exact and neutral: no colloquial expressions, emotional words or excess detail, and the idea is given unambiguously. An application contains to whom and from whom it is addressed, the name of the document, the text of the request, the date and the signature; the request is expressed with phrases such as “so‘rayman” (I ask) or “iltimos qilaman” (I request). Minutes record what was said at a meeting and the decision taken: the name of the organisation, the name and serial number of the document, date, place, chair and secretary, those present, the agenda, “eshitildi” (heard), “so‘zga chiqdilar” (spoke), “qaror qilindi” (it was decided), signatures. An extract from minutes is a copy of the decision on the needed item only, certified by signature and seal. In a letter of recommendation the recommender gives brief information about himself, writes how long he has known the person and his qualities. Other simple documents follow the same principle: an explanatory letter (tushuntirish xati) states the reason for a situation (lateness, absence); a power of attorney (ishonchnoma) authorises another person to do a specific thing in one’s name (for example, to collect a document); a certificate (ma’lumotnoma) confirms a fact (for example, that a pupil studies at this school). In decisions the verb stands in the -sin form (o‘tkazilsin, yuklatilsin); the date is written “2026-yil 14-may”; a full name is given as “Rahimov Sardor Anvar o‘g‘li”. Electronic documents are prepared in text editors and may be certified with an electronic digital signature.

Class activity

“Document builders”: groups arrange 10 shuffled parts of minutes (organisation name, number, date, chair, agenda, heard, decided, signature, etc.) in the correct order.

Practice

List the main parts of minutes in order.

Which phrase suits an application: A) “Ruxsat bersangiz edi, juda kerak edi-da”, B) “Menga ruxsat berishingizni so‘rayman”?
3
