Writing a report email

ICT P4 Term 1, Theme 1: pp. 38–41
GoalWrite a short report email with all its parts and a graph.
New words
subject · the short title of an email that tells what it is aboutattachment · a file, such as a graph, sent together with an emailgreeting · kind words at the start, such as “Dear Teacher”
Explanation

A report email has parts, and each part has a job. “To” says who will read it. “Subject” is a short title. Then a greeting, such as “Dear Teacher”. Then the report itself, in a few clear sentences, with numbers. If you have a graph, you attach it, and say so. Finish with a polite ending and your name. Never put private details in an email, such as your address or phone number. On paper you can practise with pretend names. When you really send one, do it with a teacher or a family member.

Worked examples

Seif’s email: “Dear Teacher, I asked 16 classmates which game they like best at break. Football was the favourite with 7 votes. Skipping rope had 5 and hide-and-seek had 4. The graph is attached. Thank you, Seif.” Check: 7 + 5 + 4 = 16.
Break-time game surveyLook!
A subject line should tell the reader what is inside. “Break-time game survey” is clear. “Hello” or “Look!” does not say anything.
graph attachedattachment
The graph has a title and labels, and the email names it: “The graph is attached.” Then the teacher knows to look for it.
Class activity

Write a pretend email on paper. Use a pretend name for the teacher. Take the numbers 6 pizza, 9 rice, 4 fish (19 children). Write all the parts: To, Subject, Greeting, Report with the numbers, a line about the graph, and an ending. Read it to a partner. Did they find every part?

Practice
