Explanation
ICT tools are helpers for keeping, making and sharing information. Think of a school bag with different pockets: each pocket holds a different thing, and each ICT tool does a different job. A word processor is best for writing a report or a formal letter. A spreadsheet keeps numbers in rows and columns and can turn them into a graph. A presentation program makes slides, so a team can show its ideas to the class. E-mail carries a formal message or a file to someone far away. A face-to-face talk is best when the person is next to you and the news is short. To choose a tool, ask three questions: Who will read it? What do they need? Where are they?
Tool
Best for
Example
word processor
reports and letters
a report about the school garden
spreadsheet
numbers and graphs
votes for a class trip
presentation program
showing ideas to a group
slides for a science fair
e-mail
formal messages and files
a letter to a principal far away
Worked examples
Mariam counted how many classmates like each fruit: 9 like mango, 6 like orange and 5 like banana. She keeps the numbers in a spreadsheet and draws a graph. Then she makes three slides to show the class.
Omar’s uncle works in another city. Omar wants to send him a formal thank-you letter and a file with his drawing. A letter by e-mail with the file attached does both jobs.
Salma sits next to her friend and wants to say ‘lunch is at one’. The news is short and the friend is right there. Talking face to face is the quickest tool.
Class activity
Message match. On six small cards write six messages, for example ‘a thank-you letter’, ‘the results of a class vote’, ‘news for the girl next to you’. Swap cards with a partner. For each card, say which tool is best and why: word processor, spreadsheet, presentation program, e-mail or a face-to-face talk. If your partner chooses a different tool, listen to the reason.
