Starting and joining a meeting with a link
ICT Prep 1 Term 1, Lesson 7: pp. 66–73
GoalExplain the two ways to start a meeting and how a meeting link works.
New words
instant meeting · a meeting that starts right nowmeeting for later · a meeting that is created now but held at a time you choosemeeting link · a line of letters and numbers that leads to the meeting, like a key to a roominvited person · a person who has been sent the link and may join
Explanation
There are two ways to start a meeting. An instant meeting begins right now: the host chooses to start a new meeting at once, copies the meeting link and sends it to the people who should join, for example by e-mail or by a messaging app. A meeting for later is created in advance: the host creates it, copies the link, sends it to the invited people and keeps the link until the time of the meeting. A meeting link is a line of letters and numbers, and it works like the key of a room. To join, an invited person opens the link that was sent. Sometimes the host has to accept a request to join, so you may wait a little. The rule about links is simple: if you were invited with a link, do not forward the link to another person without asking its owner. Steps are different in each service, so ask your teacher. We learn the ideas on paper and do not use any real meeting link.
Instant meeting
Meeting for later

copy the link
Step 3
send the link to the people who should join

Step 4
the meeting is held now
keep the link until the time comes
Worked examples
create for Thursday→copy the link→send to the group→keep it until Thursday
A teacher creates a meeting for Thursday so that a group can plan a project. She copies the link and sends it to the group by e-mail. The link works on Thursday at the time she has chosen.
open the link→wait: the host sees the request→host accepts→join the meeting
Seif opens the link that his teacher sent. The screen tells him to wait. The host sees a request from Seif and accepts it. Then Seif joins the meeting.
Omar’s friend asks him to forward the meeting link to another boy. Omar thinks of the link as a key to a room. He does not hand the key to a stranger. He asks the owner of the meeting first.
Class activity
Make a paper link card with an invented line of letters and numbers, such as “abc-1234”. On the back write the rule about forwarding links. Act out with a partner: one is the host, one is the invited person. The host “sends” the card, and the guest waits until the host says “accepted”.
